We are currently looking for a detail oriented Accounting and Payroll Clerk to join our crew at this world-class, oceanfront location.

JOB OVERVIEW: Responsible for the day-to-day functions of payroll and accounting. Employee must have a good working knowledge of Microsoft Excel. Knowledge of Microsoft GP, Squirrel, RoomKey and Rezgo systems an asset. Must be organized with an attention to detail, able to meet deadlines, work well alone and with others, able to problem solve, ability to assist/coach others and liaise with Oak Bay accounting department.
ACCOUNTABILITIES:
Primary Responsibilities:
PAYROLL
• Liaise with payroll supervisor at OBM to keep current on Canadian and Provincial Labour Standards and Oak Bay Marine Group policies
• Submit completed start-up packages for new crew
• Produce crew timesheets
• Submit paperwork for payroll changes
• Input payroll data daily
• Confirm with managers/supervisors that time over 40 hrs/wk is overtime & record reason
• Check final payroll
• Disperse payroll cheques
• Produce labour reports
• Maintain crew hours spreadsheet for all of the operation.
ACCOUNTING
• Prepare U.S. & CDN deposits
• Count floats and reconcile
• Order and pick up change for petty cash at bank
• Check cash envelopes for all departments
• Prepare daily cash sheet - enter revenue from daily report, POS reconciliation, CC# & debit tapes/Squirrel report, total occupied rooms & total number of people, advance deposits, make necessary adjustments with explanations. Enter management meals, promo/QSA, kitchen meals
• Copy crew errors and include corrections & forward to appropriate department managers/supervisors
• Work closely with night auditor
• Track fish licences-books & stamps received, books & stamps returned
• Ensure all fish licences & stamps sold through Squirrel match DFO copies submitted
• Track and distribute all crew due backs
• Responsible for sending out & picking up mail
• Reconcile room charge/write offs at month end -attach all charges to appropriate folios
• Fill out and record gift certificate sales
• Petty cash account-write cheques as requested, submit cheque stubs & receipts to OBM
Qualifications & Experience:
Education and Technical Skills:
• Completion of grade 12 or equivalent
• Level 1 Accounting courses considered an asset
• Experience with Microsoft Dynamics GP an asset
• Experience with Microsoft Office programs
• Strong written and oral communication skills
• Must be organized, able to multi-task and have strong attention to detail
• Able to meet deadlines and work well both individually and as part of a team
• Payroll Compliance Practitioner (PCP) certification, or working towards this designation is considered an asset.
• Solid understanding of Employment Standards and CCRA payroll related regulations.
• A minimum of 1 year of payroll administration and processing with experience supporting an accounting department desirable.
• The ability to work in confidential environment with integrity and attention to detail are crucial for this role.
• The ability to manage time to meet tight deadlines is an important competency for this role.
Experience:
• 1 – 3 years’ experience in Accounting or Payroll Administration
