POSITION SUMMARY
The primary role of the Executive Assistant (EA) is to support the CEO and to facilitate the smooth operation of the administration department. The EA is an energetic professional who is forward thinking, proactive and has extraordinary attention to detail. This role requires strong communication skills and the ability to work independently in a dynamic environment.
PRIMARY RESPONSIBILITIES
• Manage appointment calendar for the CEO
• Provide administrative support for the preparation of meetings of the board of directors
• Maintain CEO files and manager forms
• Assist with the scheduling, preparation and coordination of meetings
• Take minutes at management meetings and distribute to team
• Pick up mail at the Post and deliver mail to the Lodge and Gateway offices
• Organize and distribute the weekly Staff Announcements
• Post and maintain notifications on Tideline, the Cortes Island community website
• Gather staff feedback/suggestions and distribute to senior leadership team
• Assist with conferences and presenter evenings as needed
• Manage green travel and staff appreciations draws each month
• Update island childcare providers for registration
• Maintain staff bulletin board
• Assist with organizing staff events and parties
• Organize and coordinate monthly birthday celebrations during the season
• Other duties as assigned
Qualifications & Experience:
• Minimum three years of experience working in an office environment
• Experience interfacing with executives and board members
• Ability to handle multiple tasks and changing priorities
• Experience working in a nonprofit is an asset
• Strong interpersonal skills
• Excellent written and verbal communication skills
• Strong computer skills including proficiency with MS Office Suite and Google Apps for Work
• Holds a valid driver’s licence
• Occupation First Aid certification is an asset
