Details:
Assisting the Division Director in all administrative, executive and client service tasks needed.
It includes but is not limited to:
- Pre-filling forms with client information
- Sending transfer forms and following-up with financial institutions
- Making photocopies & sending faxes
- Keeping client files organized, up to date and compliant
- Purchasing supplies when needed
- Keeping track of expenses
- Following up on marketing activities
- Organizing and following-up on emails
- Answering the phone for the consultant
- Booking appointments and following-up with clients on action items identified in appointments
- Taking messages
- Returning phone calls
- Welcoming clients when they come to the office for appointments and offering beverages
- All other activities that pertains to offering a better client experience
- Helping new consultants with paperwork and office orientation
Qualifications & Experience:
The ideal candidate will have experience in an administrative role, be efficient and able to multi-task, be able to work independently and under pressure. Previous experience at a financial institution would be an asset, as well as a diploma in an administrative field.
